Process for Outgoing Exchange Student
Students of Mody University of Science and Technology(MUST) interested in participating in Exchange programs with international universities need to start preparing for it well in advance.
Students can do their course work and/ or internship and/or project work at an Institution with whom MUST has an Agreement of Cooperation or MoU. There are separate schemes for student exchanges and research work, the details of which are available under the list of MoUs. For doing project/research work at a Host Institution the responsibility of finding a guide rests with the student. They also need the concurrence of the Project Guide at their respective school in MUST if they wish to submit their work done abroad towards their degree and get credits equivalence for it.
For students planning to do Coursework / Project work:
Number of semesters that can be spent abroad: One and/ or Two semesters in or either blended mode of academic experience and/ or project work and/ or internship.
Application Deadline:
For Autumn Semester: 31st March
For Spring Semester: 30th September
Students can register via application link or Office of International Affairs (OIA) through respective schools with the refundable deposit of INR 10,000 and a Statement of Purpose (SOP) to participate in any of the outgoing mobility programs.
*Students dropping out of the exchange program, after the application has been processed and nomination sent to the host university, will be debarred from participating in any of the international exchange/ visit/ internship programs in the subsequent semesters.
Steps to follow:
(I) While applying
Refer to the list of our Academic Partners
You must plan your visit in such a way that the academic calendar of your respective degree program is maintained.
For course work:
- Identify the university that you would like to go to, from the OIA website
- Make a list of the courses that you shall take at MUST in the semester(s) in which you want to go on a semester or a yearlong exchange.
- Prepare a table clearly indicating the academic courses and equivalent courses at the Host Institute, specifying your CGPA and SGPA in the application (Attach the recent grade card or transcript copy).
- For Minor related courses, you must also obtain prior permission from the relevant department offering the minor.
- The approval shall be received from your respective Faculty coordinator, HOD, Dean, Director and President from MUST for equivalence of the courses from the Host Institute.
- Refer to the Host Institute website to select the courses that you’d like to do over there (Choose 2-3 additional courses to the ones required so that in case the course you want to take is not offered, you have an alternative).
- Write a letter addressed to the Dean of your respective School, and forward it through the Head of your department, indicating your interest in proceeding for the Exchange Program. This should include a request for approval for academic courses/project/research work that you want to do in lieu of the courses/project that you would have done at MUST.
- The application shall reach the Office of International Affairs (OIA) at least 15 days prior to the Host Institute’s deadline.
- Once the approval from your HOD is received, the Office of International Affairs (OIA) will put you in touch with the International office of the Host Institute and provide you with the links for online application for your Exchange Program.
- *Note: If the number of applications received exceeds the number of seats available under the exchange program at the host institute, MoU committee will shortlist the students on the basis of profile and portfolio.
- The final decision to admit each student nominated for the exchange rests with the Host Institute.
- Also, the student is permitted to proceed for the exchange program only after receiving the permission letter from the Academic Office.
- Finances:
- In most cases, the finances are to be borne by the students themselves. MUST and their associates do not have any mechanism yet, to support exchange students financially. Some exchange agreements include a funding mechanism and this information is provided, where available, on the website – International Academic Partners page.
- Some universities have associated scholarships/awards that can be applied for, separately.
- In some universities, students are allowed to work part-time on-campus including working on research projects. This option can be exercised to defray some of the living expenses though MUST or OIA cannot assist in procuring such positions. These have to be sought by the students themselves.
(II) Before proceeding for the exchange:
- Sign the Declaration form & submit it to Office of International Affairs (OIA) at MUST.
- Submit a photocopy of the offer letter from the foreign University to OIA and Academic Office, for our record.
- You need to discuss with the Chief Warden if you would like to retain or vacate your Hostel room while you are away on the exchange visit. Retention of the accomodation shall be chargeable as per Hostel fees’ norms whereas vacation shall be done with clearance of Dues before the respective deadline.
- Process No Dues for preceding semester at MUST, for both academics and accommodation.
- Check with the Academic Office for any other formalities required – Application for Leave during exchange, next semester registrations, etc.
(III) While at the Host Institution (HI):
- Register with the Indian Embassy or Consulate of your respective HI on arrival.
- In case of any variations in the course plan approved, please consult your faculty advisor and obtain the necessary approvals through the Department. This should then be sent to the Academic Office as well as Central Office.
- If you are abroad during the period of payment of fees, make arrangements to pay the fees within the time limit.
- Give the address of Registrar Office for receiving a copy of your Grade Card. If you wish to receive your Grade Card directly, you need not give MUST Registrar Office address. However, please submit a copy of the grade card to us for records.
(IV) After returning to Mody University of Science and Technology, Lakshmangarh:
After your return from the exchange visit, you need to write to the Head of the Department to request transfer of credits, enclosing your grade card from the foreign university and a copy of the earlier approval that was given by the HOD.
For Outgoing Freemover Student:
Students can opt for One or Two Semester Abroad program as a freemover to the foreign institutions where MUST is not a collaborative partner. The responsibility of credit and subject equivalence shall be complied by the student themselves in lines with the above procedures and protocols.
For PhD research scholar exchanges:
Most MoUs have a provision for the exchange of research scholars. However, MoUs with some institutions may be specific to certain areas of research. Please go through the Agreement of Cooperation to see if it is intended for specific areas. If not mentioned, it is open for all areas. Some MoUs may have finances committed to the exchange of research scholars and these may be availed by writing to MoU Coordinator, copied to Office of International Affairs, with the approval of the PhD guide, to proceed for research work in a partner institution.
Your research plan must be approved by your PhD guide at MUST. The onus of finding a co-guide from the Host Institution rests with the PhD student and must have the approval of the PhD guide at your respective school. The PhD guide shall also get a formal approval from the Dean/ Director and/ or President to include the faculty member at the Host institution as a co-guide, if so desired.
